Your information, handled properly.
This page explains what personal information we collect, why, and your rights. Last updated: October 2026.
Who we are
Evoflame Ltd ("EvoFLAME", "we") is the controller of your personal information. Company no. 13484083, registered office Wyvols Court, Basingstoke Road, Reading, Berkshire, RG7 1WY. Contact us at [email protected] or on 0800 228 97 97.
What we collect and why
- Enquiries and bookings (name, phone, email, address, details of the job): to reply, quote, book and carry out work. Lawful basis: taking steps to enter into a contract with you.
- Jobs, certificates and invoices: to do the work, issue safety certificates (for example Gas Safe records) and keep accounts. Lawful basis: contract and legal obligation.
- Pay my invoice: when an invoice is emailed to you, we keep the invoice number, the email it was sent to, the job postcode, the job number and its secure payment link for up to 90 days, so you can find your invoice on this website. You must enter the invoice number and your postcode or email to see it. Lawful basis: legitimate interests (making it easy to pay).
- Website security: to stop abuse of the invoice finder we record a scrambled (hashed) version of your IP address for 24 hours after a failed attempt. Lawful basis: legitimate interests.
Payments
Card payments are taken on our job-management system's secure payment page (Commusoft, with Stripe). We never see or store your full card details.
Who we share it with
Only with the services we need to run the business: our job-management and invoicing system (Commusoft), our card processor (Stripe), our email provider (Microsoft 365), our website host (Cloudflare), approved contractors who carry out electrical and solar work for you, and our accountants. We may share information where the law requires, for example with Gas Safe Register. We never sell your information.
How long we keep it
Invoice-finder records: up to 90 days. Job, certificate and accounting records: as long as the law requires (usually six years for accounts). Enquiries that don't become jobs: up to 12 months.
